Our document management feature just got an upgrade! The CrewTracks document management feature is widely used by construction companies to keep documents organized, ensure safety forms are filled out, and keep plans updated for the crews using them, to name a few. While these forms can be filled out on the job site using a device, there’s still room for human error. Our latest update aims to eliminate some of these inevitable errors.
Documents can now auto-populate fields directly from the schedules in CrewTracks. When workers fill out their daily work logs, they no longer need to manually enter all the information into documents. On the job site, workers will find information either pre-filled or available through a drop-down menu. This requires specially prepared documents that can be set up by us, or by your office staff. Some of the fields that will now auto-populate include, but are not limited to:
Employees: Name, Email/Phone number
Job and Job Item information: Codes, Name, Address, Description
Equipment and Material Information: Codes, Name, Description
Schedule Information: Date, Foreman & Supervisor’s Name, Crew Name and Code
Customer Information: Code, Name, Address, Description
With this information pulled straight from CrewTracks, the chance of errors caused by manual entry is reduced, helping to prevent data inconsistencies. This will also keep custom codes organized for more efficient reporting.
These documents do need to be set up in a specific way to enable auto-population. Our team is happy to assist with the setup and creation of these specific documents.
